Welcome to PetHubble. Your privacy matters to us. This Privacy Policy explains how we collect, use, and protect your personal data when you use our app.

1. Who We Are

PetHubble is a digital pet record app that helps you track your pet's health, manage vet visits, and store important documents.

2. What Data We Collect

We only collect the minimum data necessary to provide and improve our services. This includes:

From the app: Pet data (name, age, breed, medical records, passport info); user-provided notes or reminders; appointment and vaccination dates; uploaded files (e.g., vet documents or images).

Automatically collected: Device type and version; country or language setting; app usage analytics (anonymous).

3. Why We Collect Your Data

We collect this data to: allow you to store and manage your pet's health records; send reminders for vet visits and medication; improve app features and user experience; ensure data security and prevent abuse.

4. Data Storage and Security

Your data is securely stored on third-party hosting and database providers and protected using encryption and access controls. We do not sell or share your data with advertisers or third parties for their own marketing.

5. Legal Basis for Processing (GDPR)

We process your data based on your consent (when creating an account or uploading data), legitimate interest (to improve our app and services), and performance of a contract (to provide the core features of the app you signed up for).

We may contact you by email or in-app notifications to confirm your account and manage login/security, send service-related messages, or share optional news and tips. Service-related and security messages rely on legitimate interest or contract performance; marketing/optional communications are sent based on your consent, and you can unsubscribe at any time using the link in the email or by contacting us at contact@pethubble.com.

6. Legal Basis and Purposes

Core features of the app (account creation, pet profiles, document storage, reminders you configure): processed as necessary for the performance of a contract. Security, fraud prevention, and basic service improvement: processed based on our legitimate interest. Marketing communications, optional analytics or non-essential tracking: processed only with your consent, withdrawable at any time.

7. Data Retention

Account and pet data is kept for as long as your account is active; if you delete your account, data is deleted or anonymised within 12 months. Backups are retained for up to 12 months before being overwritten. Technical logs and analytics are kept for up to 12 months, then deleted or anonymised.

8. Children and Minors

PetHubble is intended for adult users. We do not knowingly collect personal data directly from children. If you believe a child's personal data has been provided to us inappropriately, contact us at contact@pethubble.com.

9. Third-Party Services and Sub-Processors

PetHubble relies on selected third-party providers ("sub-processors") to operate and improve the app. These providers process data only on PetHubble's instructions, for clearly defined purposes, and in accordance with GDPR.

Hosting and database providers

Netcup hosts the PetHubble backend application and API, on servers located in Germany (EU).

PostgreSQL (self-managed on the same infrastructure) stores user accounts, pet profiles, health records, vaccination data, and metadata associated with uploaded documents.

Scaleway Object Storage (Paris, France) stores uploaded documents such as veterinary records and images.

Where any data is processed outside the EU, appropriate safeguards are applied, including Standard Contractual Clauses (SCCs) approved by the European Commission.

Other third-party providers

OpenAI provides the AI features used to analyze pet health documents and generate informative summaries via its API. Only non-identifying, pet-related data is sent for processing; personal data about the pet's owner (name, email, contact details) is removed or anonymised before transmission. Data sent via the OpenAI API is not used to train their models. OpenAI acts as a sub-processor and international transfers are governed by Standard Contractual Clauses.

Brevo is used to send transactional emails (account verification, invitations, pet/document sharing) and, where you've explicitly consented, marketing communications. Brevo processes email addresses and related metadata only for this purpose and acts as a GDPR-compliant sub-processor established in the EU.

OneSignal is used to send push notifications to iOS and Android devices. It processes device identifiers and notification preferences to deliver service-related notifications (reminders, alerts, app updates). Notification content never includes sensitive health data. Where applicable, transfers outside the EU are protected by Standard Contractual Clauses.

10. Data Transfers Outside the EU

If data is transferred outside the EU, it is protected by standard contractual clauses or similar safeguards.

11. Your GDPR Rights

Under GDPR, you have the right to access, rectification, erasure ("right to be forgotten" — you can delete your account directly in the app settings, or visit the Data Deletion page), data portability, objection, restriction of processing, and withdrawal of consent. You also have the right to lodge a complaint with your local data protection authority — in France, the CNIL (www.cnil.fr).

12. Changes to This Policy

We may update this policy to reflect app changes or legal requirements. We'll notify you in-app or via email.
